Outdoor Weddings – Tips & Tricks!

As a wedding planner, there are lots of details: the flowers, the caterer, managing the bride(s) & groom(s) and the entire guest list.. It truly never ends for us until the party is over and the guests have departed.
A commonly overlooked detail that for outdoor/destination weddings we can’t help but emphasize is the importance and need for alternate options and plans to an outdoor ceremony. On any day, in any city could provide extreme weather scenarios that are unanticipated and negatively impact the course of the day. Why add more stress to the day when you can prepare ahead of time. Although this may require some additional funds, this will outweigh any concerns on your wedding day so you can fully enjoy!
Here’s some of our options for tips & tricks with extreme weather..
water
WARM WEATHER OPTIONS
– Fan Programs: this could be a fun way to have guests use this as their best accessory! They can fold it like origami! These can be easily found on a site like etsy.com.
– Parasols: get creative with this! You can use colors to complement your overall wedding theme, use a picture of the couple or provide markers where guests can write fun notes on them! Other things to consider providing your guests: sunscreen, blotting tissues, face mist, (the mini Evian face mists can be left on a table for people to pick up or in the bathroom) and insect repellant (especially for the mid-summer or outdoor ceremonies in the woods or a more rustic locale).
– Water Station: this could be providing guests with mini water bottles (and do specialized wrapping) or leave a large water jug with cups and hand towels next to it. [You can add a larger beverage station here with drinks like lemonade, iced tea or for indian weddings some mango lassi!] NOTE: you should avoid strong alcohol and drinks that can spoil in warmer weather..
– Cold snacks: let your guests snack on some cold treats like ice cream / sorbet, fruit bars or a gazpacho! Adds an extra hint of color to the day! Though, be mindful to keep stored at cool temperatures and have people hand out VS leaving out to melt.
– Tents: provide a tented area such as a cabana tent in case for extra shading. Also, considering the time of day that you’re planning the ceremony can help as well; The later the ceremony, the easier time you may have to avoid the mid-day heat.

RAIN PLAN OPTIONS
– Umbrellas for your guests: leave them by the beginning of the ceremony aisle with big containers to put already wet umbrellas. Another fun idea is to provide rain ponchos for guests and they can have a picture of the couple or the date of the wedding.
– Tent with marquees/walk-ways: provide a place for people to stay for the chance of a surprise rain shower. We recommend avoiding using materials that people can easily slip on. Also, make sure to make signs that are legible and with materials that won’t wash away in extreme rain/snow.
– Event Insurance: in case its extreme weather and the event gets cancelled. There’s always a “what if” scenario and you’d rather be safe than sorry!
– Transportation: keep an extra eye on how the day is going. Guests may be coming from a hotel or out of town. Suggest carpooling with other guests or ask ahead of time at the hotels guests may stay to work through providing some transportation options.
– Rain cards: when sending invitations, you may have already considered a rain plan. This would be a good time to inform your guests of these plans so everyone can consider their choices for attire, transportation, etc.
– TAKE PICTURES! Rainy day weddings usually produce some of the best photos. Be creative and keep lots of color (umbrellas, rain shoes).
Depending on your location, you may require additional permits and permissions based on the grounds. Do your due diligence as well as speaking with the venue to discuss your options!
Most importantly, make sure to HAVE FUN! It is your wedding after all.. Things happen that are out of your control and making the most of the situation will be most important. Don’t get caught up in the small things and enjoy the day!

Personal Preferences, Your Location, Time & Weather – Picksie 2.0

Back in June we spoke to you about Picksie – which is a recommendation engine with a push mechanism.  For us it was really exciting to be back as take part in the launch of Picksie’s 2.0 this past November.   tanaRi events’ helped put together a fabulous private event at the Lucky Strike Bowling Lanes.  We handled majority of the event design, planning & production, along with day-of-coordination.

Picksie made its name as “a New Yorker’s best friend” with its new and much-improved interface, speed, and functionality. And the best part for everyone out there? It’s free.  For us, it was great to be part of sharing this product with a discerning audience who love technology and also enjoy exploring the city.

The party space was set-up to be modern & very tech savvy.  As the brand color is green, the Picksie green was the chosen theme color.  The color was brilliantly incorporated into the room and the different elements in the event space.  The neon bright kiosks manned by Picksie experts, and the video displays on TV screens demonstrated the various unique features of Picksie 2.0.

The launch party began at 7pm and we were excited that the space filled very quickly with techies, and Picksie supporters.  As soon as guests entered, there was a red carpet entrance with Picksie 2.0 step & repeat where guests posed for their photos.  Few minutes into this, our special celebrity guest, Avril Lavigne arrived with Brody Jenner.  After the red carpet photo session, Avril came straight to use Picksie’s all new 2.0 application and had very nice compliments for the special features of the latest version.

The food and drinks at the event were a perfect blend to the theme and audience tastes.  Appetizers were served with green custom made napkins and the drink favorite emerged to be event special “Picksitini.”  I personally loved the flashy green swizzle sticks in the drinks that light up and were in the theme color.

During a night of drinks, food, music, and fun, attendees were able to test out Picksie 2.0 on iPhones, demonstrated by Picksie team, and learned about the exploring New York City with Picksie’s help.  They had a great time meeting Avril and had fun along with her, who bowled a few games with Brody by her side.  It was great to see Avril and Brody really enjoying their game.

There was a live DJ playing great music and a fabulous emcee who did some stand-up comedy along with the event announcements throughout the evening!

Prizes were raffled away to some of the biggest fans of Avril, which included an iPhone 4s and autographed photos by Avril herself! A few other lucky attendees won wonderful prizes to nights out, fine dining, and movies. The guests also received Picksie t-shirts and other memorabilia which were very well received.

The planning time was short and, as in most event planning, there were lot of moving parts to the event, but tanaRi events is so glad that everything came together perfectly at the launch.  Avril was highly pleased with the event and the product, and every guest left happier and more informed about the Big Apple that we could not have anything more.

Thank you to Picksie for allowing us to plan your event and special thanks to all the guests who shared great feedback!  Enjoy Picksie 2.0.

Bring on the New Year – clever decor tips for a trendy house party!!

Hi everyone!

Hope you had a joyous Christmas celebration with your near and dear ones!

Can you believe that we are just days away from a brand new year!  As we gear up for the biggest party of all – New Year’s Eve Party – we wanted to share a few DIY ideas to make your home trendy and spectacular as you ring in 2012 with your friends.  Use these budget conscious ideas to bring in a different color theme from reds and greens while using many of the items that you purchased for past week’s celebrations.

Since we did not get snow this Christmas, New Year’s Eve party is a great time to go snowy themed, with touches of blue and brown.  Collect all the white and blue colored pieces from your Christmas decorations and be inspired by these ideas as you prep for a grand house party.

Entrance area Décor:  Gather a bunch of pretty branches in a pot near the entryway and place a few white ornaments and white lights on them.  These branches can be white (available at Crate & Barrel, Pier 1 etc., or a store in the flower district) or you can pick up a few well-shaped fallen branches from a near-by park.  Based on the size of the branches, be creative in placing white & silver sparkles on them and they will definitely turn out festive and beautiful.

Wall Décor:  Use crystal flower shaped wall scones and put co-ordinated candles on each one. It makes an empty wall stand out and will dress up a corner or entrance wall.

Ceiling Décor: The bigger white and blue ornaments could be hung from the ceiling and paper flowers or lanterns is a great addition.   If you are looking for very inexpensive ones, Party City or Luna Bazaar has cute things you can hang from the ceiling and turn up the decor volume.  I personally love the snowflakes & white fluffy decorations. Mix a few blue decorations and the color theme will flow beautifully.

Table Setting: A creative space to establish the color theme of silver and blue.  Use silver bordered white plates with silvery place mats.  Silver and white napkins can be folded over plates to include cutlery. Add  more drama with blue flowers or ornament pieces in shot glasses placed on the plates.  The place setting along with silver snowflake coasters and wine glasses will look grand against a blue tablecloth.

Centerpieces:  If you don’t want to spend too much on centerpieces, you can take low circular vase or a simple wide bowl and fill it up with white and blue ornaments and some pine cones.  If you like to be more creative, another idea is to make a few small pom-poms as floaters.  Here is how to make them – You will need tissue paper and 24-gauge white cloth-covered floral wire. 1. Stack four sheets of tissue. Cut a 10-by-5-inch rectangle, going through all layers. Make 3/8-inch-wide accordion folds.

2. Fold an 18-inch piece of floral wire in half, slip over center of tissue, and twist to secure. Trim ends of tissue.

3. Separate layers, pulling away from center one at a time.

4. Bend wire into a loop to fit around napkin, and twist end around loop to secure.

Fill a shallow bowl with water and float the pom-poms. For an added touch of elegance, drop a few tea candles or other small candles in the water as well and light them just before dinner, letting them float around the paper flowers.

Luck and Lighting – Black-eyed peas are considered good luck on New Year, so why not incorporate those little legumes into your décor in candle holders around the apartment? The peas are very pale and will go well with your color theme as well.

Look through your cabinets for a couple mismatched glasses. Fill each glass 1/3 to 1/2 of the way with black-eyed peas, set a small votive or other small candle into each one. You can scatter your candles throughout the party area where you want to add some sparkly.

Drink-ware Decor: Champagne glasses are a must for the ball drop moment at your party but wouldn’t it be fancier to dress it up a bit?  Here is a clever idea – floaty butterflies.  You will need card stock in party color theme, butterfly template, pencil and scissors.

1. Card stock paper that is colored on both sides; fold in half. Place butterfly template on paper with flat edge of butterfly’s body flush against fold; trace.

2. Cut out butterfly along inside of the traced line and cut out V-shaped notch along the folded edge. Open slightly. Slip notch over rim of glass to hold butterfly in place.

3. If you like, write messages on them for your guests

Enjoy the preparation and have a great start to the New Year at your amazing party!

May this new year bring many opportunities your way, to explore every joy of life, turning all your dreams into reality and all your efforts into great achievements.
Happy New Year to you & your loved ones.
